At JPP Property Management our aim is to maintain properties for our landlords that give an exceptional degree of accommodation to their tenants. As mangers it is our aim to assist both tenants and landlords to achieve a mutually beneficial relationship. Application

As a tenant you will be required to furnish us with a completed application. This will include personal details about you which we will maintain in accordance with the government legislated Privacy conditions. You will need to provide details of current and past employment, current address and previous address. You will also be required to provide a copy of your driver’s license. These details are thoroughly checked by our property management team. It will be advantageous to have references that can also be checked.

Your application will be assessed and all references and employment history will be checked. You will be notified if there is any further information needed.

Your application would then be sent to the landlord for their approval. If successful you would be required to sign an REIV or Law Institute Tenancy agreement. Both you and the landlord would sign this and it would become a legally binding agreement. At this time you would be required to pay the first month’s rent and the bond.

The bond is forwarded on behalf of your behalf to the R.T.B.A. (Residential Tenancies Bond Authority). This is a government run authority which holds all bonds in trust.

Condition Report

Upon successfully entering into a lease agreement with the landlord, and paying your rent and bond, you will be given a copy of the condition report. This report will have been filled out and signed by a representative of JPP Property Management. This report is used at the completion of the tenancy to check whether you have maintained the property in a fair and reasonable fashion. Please check the condition report thoroughly. You must return the condition report, signed, within three business days to JPP Property Management.

Routine (six monthly) inspections

One of our property managers will arrange a mutually acceptable time to visit and do a routine inspection of the property. This can be with or without the landlord.

Rental payment

JPP Property Management can enter into a direct debit agreement with you. We will send an email alert 48 hours before the rental payment is withdrawn from your nominated account and bank transferred to our trust account for forwarding to the landlord. This will occur on the same day each month depending on when you lease was signed. You can also agree to a direct bank credit, bank cheque or personal cheque or cash payments can be made during office hours at our office.

Your rent must be paid on or before its due date. If an unforseen event occurs please advise this office prior to going into arrears so instructions can be sought from the landlord. Please note you can be served notice if your rent becomes 14 days in arrears.

Keys

You will be given set of keys at the commencement of the lease. You are allowed to change the barrels at your cost if you wish but a full set of keys must be given to JPP Property Management at this time. If you require any assistance with a locksmith please consult your property manager and they will be happy to assist.

Maintenance and Repairs

It is the responsibility of the tenant to keep the rented premises in clean order. It is the tenants’ responsibility to take all reasonable care to minimise any damage to the premises or common areas and they must give notice of any damage to JPP Property Management as soon as practicable.

Repairs

All repairs will be carried out by competent tradespeople in a timely fashion at the Landlords direction. If the damaged was caused by the tenant then you may be asked to reimburse the landlord.

Urgent Repairs

A contact number will be furnished to tenants for all urgent repairs but in the unlikely event the manager cannot be contacted you, as a tenant have the right to organise “Urgent Repairs”.
This is a gazetted list that is bound in legislation

If a tenant or resident requests urgent repairs, the landlord or owner must respond immediately.

Urgent repairs are:

  • burst water service
  • blocked or broken toilet system
  • serious roof leak
  • gas leak
  • dangerous electrical fault
  • flooding or serious flood damage
  • serious storm or fire damage
  • failure or breakdown of any essential service or appliance provided by a landlord or agent for hot water, water, cooking, heating, or laundering
  • failure or breakdown of the gas, electricity or water supply
  • any fault or damage in the premises that makes the premises unsafe or insecure
  • an appliance, fitting or fixture that is not working properly and causes a substantial amount of water to be wasted
  • A serious fault in a lift or staircase.

We will endeavour to effect repair as soon as possible.

Completion of a tenancy agreement

Upon terminating a lease it is the tenants’ responsibility to leave the premises in a similar condition to that which it was when they took possession. Once the property has been emptied, cleaned and the keys are returned, one of our property managers will then carry out a final inspection of the property. This inspection is to determine the condition of the property on vacating, compared to the condition of the property at the commencement of the tenancy. An agent has ten working days from the termination of the lease or from the date the keys are handed back to finalise the refund of the bond. All disputes will be handled in a formal process set up and maintained by Victorian Civil and Administrative Tribunal (VCAT).

Changes to Leases

Any changes to a tenancy agreement that is requested by the tenant will need to be agreed to by the landlord. If multiple tenants wish to become one or another tenant is joining the lease, this can be accommodated if the landlord agrees. The cost of drawing up the new lease will be borne by the tenant.

Terminating a lease

Generally, there are three main ways to end a lease or residency:

  • with mutual agreement from all parties
  • when a landlord or owner gives a Notice to Vacate to the tenant or resident
  • when a tenant or resident gives notice to the landlord or owner that they intend to vacate.
